Terms of Service
Last updated: 19 September 2026
These Terms apply when you use MyPropertyRecord. By creating an account or using the service, you agree to them. How we handle your information is explained in our Privacy Policy.
1. About these Terms and beta status
MyPropertyRecord is a service for keeping a record of a property: its floors and rooms, the items installed in it, work carried out, maintenance schedules, and the documents that support them.
MyPropertyRecord is currently in beta. Features may change, and we may improve, replace or withdraw them. We may carry out reasonable maintenance, and the service may be interrupted from time to time. We do not promise that the service will always be available or free from errors.
2. Accounts and eligibility
You create an account with an email address and password and verify your email address. You must give accurate information, keep your sign-in details private, and tell us promptly if you think your account has been misused. You are responsible for activity on your account.
You must be able to enter into these Terms to use the service. If you use MyPropertyRecord on behalf of an organisation, you confirm that you are allowed to do so.
3. The service and property records
MyPropertyRecord lets you record properties, floors, rooms and areas, installed items, documents, work records and maintenance schedules. Stored files are private by default.
The record belongs to the property and is organised for the people you choose to give access to. We provide a tool for keeping and organising records; we do not provide legal, safety, compliance, surveying, insurance or other professional advice.
5. User content and responsibilities
You provide the property information and the files and other content you add. You are responsible for that content and for having the right to add it.
MyPropertyRecord stores and organises your records. We do not independently verify that property information, certificates or other uploaded documents are accurate, valid, current or legally sufficient. You should keep the original of any legally important record where appropriate, rather than relying only on a copy stored in MyPropertyRecord.
You give us permission to store, process and display your content as needed to provide the service to you and the people you share it with.
6. Plans, subscriptions, cancellation and billing
MyPropertyRecord offers paid subscription plans, which can be monthly or annual. Payments are handled by our payment provider, Stripe. You can review and manage your plan, and your payment details and cancellation, from Billing in your account once signed in. Current prices are shown in the service.
Beta testers may be given time-limited access. When a beta trial ends, your account becomes read-only: you can continue to view your records and documents but cannot add or change information until you choose a paid plan.
7. Acceptable use and security
You must not misuse the service. In particular, you must not:
- break the law or add content you have no right to add;
- try to access another person’s account, property record or data without permission;
- interfere with the service, test its security without our written agreement, or use it to send harmful or abusive material;
- share your sign-in details or misuse sharing, QR or invitation links.
If you find a security problem, please tell us at support@mypropertyrecord.co.uk.
8. Beta changes, suspension and termination
We may change, suspend or withdraw features, and we may suspend or end access to the service or to an account, for example to protect the service or other users, or if these Terms are breached. Where reasonably possible we will give notice.
You can stop using MyPropertyRecord at any time. During beta, account deletion is handled by our support team on request — contact us at support@mypropertyrecord.co.uk. Automatic account deletion and self-service data export are not currently available. Some information may need to be kept or may not be able to be removed immediately, as described in the Privacy Policy.
9. Disclaimers and liability
The service is provided “as is” during beta. We do not promise that it will be uninterrupted or error-free, or that it will meet every requirement you have.
You are responsible for decisions you make using your records. Nothing in these Terms limits any right or liability that cannot be limited by law.
10. Changes to these Terms and contact
We may update these Terms as the service develops. The date at the top shows when they were last updated. If we make a significant change we will take reasonable steps to let account holders know, and continuing to use the service after a change means you accept the updated Terms.
